How Kinderkrebshilfe Schweiz is standardizing its processes with ORBIS and Microsoft Dynamics 365 and refocusing on its mission

Charities face the challenge of managing donors, members and beneficiaries efficiently whilst complying with data protection regulations. Fragmented IT systems often complicate day-to-day work. Kinderkrebshilfe Schweiz, a Swiss organisation supporting children with cancer and their families, has solved this problem in collaboration with ORBIS: based on Microsoft Dynamics 365, a centralised platform has been created that standardises processes and frees up more time for what really matters.

Kinderkrebshilfe Schweiz, based in Olten, has been supporting families whose children have cancer since 1987. This charitable organisation offers emotional, social and financial support, organises group activities and holiday programmes, and provides aftercare for affected families. Funded by donations and membership fees, the organisation has a clear aim: to offer hope and support to the children affected and their families, and to improve their quality of life.


When systems reach their limits

Before the project began, the IT solutions were fragmented and did not provide a unified platform for comprehensive data collection and management. Data redundancies, a lack of transparency, difficulty in maintaining an overview, and manual processes characterised day-to-day work.

At the same time, requirements were growing: Data protection compliance, cloud accessibility, interface integration and differentiated user roles called for a modern, scalable solution. The objective was clear: a central database that would make processes more transparent, traceable and consistent, and help staff work more efficiently. As Microsoft products were already in use and the security requirements of the business processes were particularly high, Microsoft Dynamics 365 was chosen.


One platform that brings everything together

Together with ORBIS, the charity chose Dynamics 365 Sales as the basis for the new central platform. Complemented by Dynamics 365 Customer Insights for forms and mailings, this created an integrated solution covering all relevant business processes.

Stakeholder management was at the heart of the implementation: the management of affected children and families, donation management, and the management of projects, partners and activities. ORBIS took charge of the full implementation of the customer engagement solution, including a comprehensive address database containing members, donors, partner organisations, volunteers, benefactors, sponsors, board members, hotels and interested parties.

This was complemented by segmentation, categorisation, a document manager and the customer journey. A particular added value was the automated processing of bank statements: various statements from Swiss banks are automatically parsed and incoming donations are efficiently allocated. This approach significantly reduces the manual effort involved in processing transactions.

In addition, the solution included integration with the accounting and donation management systems, as well as with the Raisenow and Abacus invoicing systems. The customer journey was also systematically mapped out in order to specifically improve interactions with donors and members.

The collaboration was characterised by a culture of active feedback, open communication, a high degree of agility and responsiveness on both sides. The project was completed within the planned budget.

Today, three staff members work with Dynamics and benefit from a centralised 360-degree view of all relevant data. Dashboards provide quick overviews, and differentiated user roles ensure that each person sees exactly the information they need for their work.

With Dynamics 365, the organisation now has a centralised, data-protection-compliant platform that maps all core processes transparently and efficiently. Manual tasks have been reduced through automated processes, and data quality has been significantly improved. At the same time, the new solution lays the groundwork for responding flexibly to future challenges. The scalable architecture equips the organisation for further growth and enables continuous improvements in efficiency.
